How Quick Cart Delivery Services automated rider payroll, loans, and accounting with Zoho Creator and Zoho Books
Client Profile
Quick Cart Delivery Services is a UAE-based last-mile delivery company that employs a large workforce of riders across multiple delivery projects. It also operates a sister company. Quick Cart uses a custom Zoho Creator application for workforce, payroll, and fleet operations, integrated with Zoho Books for accounting across both companies.
Overview
Quick Cart needed its payroll, rider loans, deductions, and accounting to work as one connected system instead of relying on manual entries and corrections. With the help of IT Enablers Global (ITEG), they enhanced their Zoho Creator application and its integration with Zoho Books between May and August 2026.
The engagement automated loan and installment recovery, fine and Salik (toll) deductions, and expense handling through scheduled processes that update payroll every month. It also delivered approval workflows, employee history tracking, multi-company accounting, and role-based portal access.
Key Takeaways
- Payroll deductions calculated automatically, with no manual entry
- Payroll and Zoho Books kept in sync across both companies
- Approvals and full rider history for better control
Background
Quick Cart operates in the delivery and logistics sector. Its riders are assigned to different client projects, bikes, and SIM cards, and many take cash advances or loans that are recovered from their salaries. Each month, payroll must account for loan installments, traffic fines, Salik tolls, maintenance charges, and reimbursements, and every transaction must post correctly to Zoho Books.
As the workforce grew, keeping payroll and accounting in sync through manual adjustments became difficult. Quick Cart engaged ITEG to automate these processes and strengthen the integration between Zoho Creator and Zoho Books.
Problem Statement and Key Challenges
Quick Cart faced several operational challenges:
- Manual payroll deductions: loan, expense, fine, and Salik amounts were entered manually in payroll, which led to errors and mismatches.
- Payroll and accounting out of sync: loan recoveries and payroll records did not always match the entries in Zoho Books.
- Incorrect account mappings: payment modes, loan types, fines, and tolls were not consistently mapped to the right bank and chart of accounts.
- Multi-company complexity: employees of its sister company needed their transactions posted to a separate Zoho Books organization.
- Limited history: old bike, SIM card, and project allocations were overwritten, making it hard to trace charges back to the right rider.
- No approval control: rider advance salaries and loans lacked a structured approval process.
Evaluation of the Problem
ITEG reviewed Quick Cart's payroll cycle end to end, from rider onboarding and loan issuance through monthly deductions and posting to Zoho Books. The team held a full payroll-versus-accounting reconciliation with the client and traced mismatches to manual entries and data sync gaps.
ITEG then proposed a module-by-module redesign: make payroll deductions read-only and auto-populated, drive them from dedicated Loan, Installment, Expense, and Maintenance & Penalty modules, and run scheduled processes to keep payroll and Zoho Books aligned.
Solution
ITEG redesigned Quick Cart's Zoho Creator application so that payroll is driven automatically by the modules that feed it, with every transaction posted to Zoho Books. The solution includes:
- Automated payroll: All loan and expense fields in payroll were made read-only. Payroll now updates automatically from the Installment, Expense, and Maintenance & Penalty modules, removing manual entry. A payroll processing schedule runs loan deductions automatically on the scheduled date.
- Loan and installment recovery: In the Loan and Installment modules, COD (cash on delivery) deduction and penalty loans are deducted directly from payroll, while other loans are recovered through the Installment module. A scheduled process runs every month until each loan balance reaches zero, and advance payments correctly reduce the remaining balance. A retry option lets the team resend any transaction that did not post to Zoho Books.
- Expense, fine, and Salik deductions: Scheduled processes add expenses, fines, and Salik charges to the current month's payroll. If payroll has already been created, it is updated; if it is created later, the amounts are added automatically.
- Accurate Zoho Books integration: ITEG mapped payment modes to the payroll card and bank accounts and to petty cash, and mapped six loan cycles, exited employees, fines, Salik, hold salary, and month-end adjustments to the correct accounts. Duplicate reimbursement entries and orphaned records were cleaned up.
- Multi-company accounting: Transactions for employees of its sister company are posted automatically to a separate Zoho Books organization for that company. A Company field was added across modules to track each record's company.
- Rider advance salary approvals: Approved rider advance salary requests automatically create a loan record linked to the rider. Authorized approvers act through their Zoho portal accounts.
- Employee history tracking: The Employee Master now keeps a full history of each employee's projects and SIM card usage, with entry and exit dates. SIM card charges are mapped to the employee.
- Role-based access: Portal permissions were configured for Coordinator, Operations, HR & PR, and Accounts profiles, so each team sees only the fields it needs.
Implementation
The engagement ran from 19 May to 28 August 2026, about 15 weeks, using an iterative approach with regular client reviews and recorded walkthroughs of each delivered feature. More than 40 enhancements were delivered in this period.
- Payroll & Accounting Reconciliation (May to June 2026): account mapping, payment modes, multi-company integration, and historical data correction
- Loan & Deduction Automation (June to July 2026): Loan and Installment modules, scheduled deductions, fines, Salik and expense automation
- Workflows & History Tracking (July to August 2026): advance salary approvals, payroll schedule, employee history and role-based permissions
- Training through recorded walkthroughs and ongoing post-go-live support
The next phase covers 3-level approvals for loans and installments, Full & Final settlement enhancements, vehicle history, and a rider self-service portal.
